Responsible for the upkeep of fiscal matters including insurance billing, student records and supply budget. Serve as HIPAA Privacy and Security Officer for MAP. Assist with the maintenance of MAP policies and procedures. Provide support to the program director and associate director.

Duties:
- Work directly with MAP contracted billing agencies including the MC Accounting Office and any outside contractors for monthly MAP client billing.
- Keep track of all client treatment plan authorizations and ensure concurrent authorizations are submitted accurately and by due date.
- Ensure all new staff and students have completed necessary paperwork and agreements before beginning work and are added to necessary portals (i.e. data collection, etc).
- Onboard new BCBA staff by working to get them credentialed with insurance providers.
- Complete session note checks for all clients in data collection software to ensure that session notes and times match before billing for these services.
- Run monthly Dropbox and Motivity security checks.
- Actively seek out and remain up to date on monthly changes to insurance company policies, billing and authorizations.
- Update families promptly with regard to insurance benefits and how those benefits are applied to billing.
- Collect and document all coinsurance, copayments, and tuition payments, as well as scholarship awards, and apply to each client’s account.
- Provide monthly bills to families and follow up to ensure payments are made and recorded.
- Serve as HIPAA Privacy and Security Officer for MAP
   a. Responsibilities as the HIPAA Security Officer for MAP, with the following job duties:
      i. Overseeing the MAP HIPAA Security Compliance Program & policies and procedures
      ii. Providing periodic security reminders for MAP staff
      iii. Being a point of contact for HIPAA Security questions or complaints
      iv. Liaison with the Meredith IT Department related to compliance of HIPAA Security technical safeguards operated by IT
      v. Ensuring periodic evaluations of the HIPAA Security compliance program
      vi. Ensuring periodic PHI risk analysis and a corresponding risk management program
   b. Responsibilities as the HIPAA Privacy Officer for MAP, with the following job duties:
      i. Overseeing the MAP HIPAA Privacy Compliance Program & policies and procedures
      ii. Acting as a point of contact for HIPAA Privacy questions or complaints
      iii. Ensuring HIPAA Privacy compliance for MAP forms related to uses and disclosures of protected health information
      iv. Investigating parent or client HIPAA privacy complaints
      v. Reporting any PHI breaches as required by the HIPAA breach notification requirements
- Continuously update training to ensure knowledge of HIPAA regulations.
- Prioritize, maintain, and oversee MAP paperwork and policies for client confidentiality and HIPAA regulations to ensure that MAP remains in compliance.
- Routinely update and maintain/document MAP paperwork and policies to support renewal of MAP’s DHHS license and ensure compliance with all DHHS regulations.
- Work with Program Director and Associate Director in overseeing and maintaining Facility and Supply budgets.
- Assist Program Director and Associate Director in tracking and acknowledging gifts received by the program.
- Complete monthly credit card billing statements accurately and in a timely manner.
- Run occasional errands, maintain supplies, and otherwise maintain a functional and efficient office.
- Ensure proper maintenance of all client records.
- Responsible for submitting and following up on facility work order requests
- Submit for renewal of DHHS license each year
- Opens and/or Closes facility as scheduled.
- Ensure proper documentation of student and client incident reports
- Work with the Program Director and Associate Director to prioritize other duties as assigned.

Qualifications:
EITHER
- High school diploma and a minimum of three years experience in a similar position. Experience in educational setting is preferred.
OR
- Bachelor’s degree and a minimum of 1 year of experience

Requirements:
- Demonstrated competency in the field of online medical/mental/behavioral health insurance billing and coding.
- At least one year of billing experience using electronic systems for an organization.
- Demonstrated competency in all basic user software systems such as Word, Excel, Google Docs and Publisher
- Demonstrated knowledge of HIPAA rules and regulations
- Have at least one year experience working with an agency conducting in-network insurance billing
- Have no substantiated finding of abuse or neglect listed on the North Carolina Health Care Personnel Registry.

Preferred Qualifications:
- Experience working with in-network billing for a behavioral healthcare provider in the state of North Carolina.
