The Events Coordinator assists with the planning, coordination, and execution of campus events, supporting Meredith College’s efforts to host weddings, conferences, meetings, and other community programs. This position focuses on logistical support, setup coordination, and client communication to ensure successful and professional events that reflect the quality standards of Meredith College.
Duties:
- Assists with scheduling, setup coordination, and day-of logistics for campus events.
- Serves as a primary point of contact for event setup and client support during assigned events.
- Coordinates with campus partners such as Catering, Housekeeping, Facilities, Copy Center and Campus Police to ensure readiness for events.
- Supports client communications, providing updates, confirmations, and details as needed.
- Conducts site tours and respond to inquiries about campus event options.
- Provides on-site event coverage, managing vendor coordination and guest assistance.
- Coordinate summer camps.
- Assists in post-event follow-up, including feedback collection and records maintenance.
- Supports marketing and outreach activities, including maintaining event listings and assisting with social media or promotional materials.
- Contributes to a team culture of professionalism, responsiveness, and hospitality.
Required Qualifications:
- Associate degree or equivalent experience in event planning, hospitality, communications, or related field.
- At least one year of experience in event coordination, customer service, or hospitality.
- Excellent organizational and project management skills with strong attention to detail.
- Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong communication and interpersonal skills, including the ability to work collaboratively with diverse groups.
- Proficiency with event management software, Microsoft Office Suite, and social media platforms.
- Availability to work evenings and weekends as required by event schedules.
Preferred Qualifications:
- Experience supporting events in a college or university environment.
- Familiarity with local vendors and community organizations.
Work Environment:
- Work is performed in a professional office and campus event settings. The position involves direct interaction with clients, campus partners, and external vendors. Weekend and evening work are required, depending on the timing of events.
Physical Requirements:
- Ability to stand and walk for extended periods during event coverage.
- Ability to lift or move materials up to 25 pounds.
- Must be able to travel between multiple event sites on campus.
