The Associate Director of Admissions Operations, under the direction of the Director of Admissions, recommends strategies for the multi-faceted operational functions of the Office of Admission and manages their implementation. She/he is the resident CRM (Technolutions, Slate) expert and works collaboratively with colleagues to plan and implement technology strategies that support the recruitment of prospective students. Additionally, the Associate Director is responsible for planning and overseeing the processing of prospective student information from inquiry to enrollment, for overseeing the delivery of print and electronic flow of information to prospective students, for the maintenance of internal procedure manuals that safeguard processes and student information, ensuring accuracy of enrollment data reports, and for supervising the operations team. Additionally, the Associate Director is responsible for ensuring the accuracy of the CRM’s interface with the campus SIS and serves as a member of the leadership team within the Office of Admissions.

Duties and responsibilities include but are not limited to:

Duties:
- Supervising technology-related aspects of the admissions office including the planning, maintenance, and implementation of technology solutions.
- Making recommendations to the director of admissions for operations strategy and business process enhancements within the CRM (Slate).
- Supervising a dedicated, hard-working operations staff.
- Ensuring the accuracy of prospect, inquiry, and application processing and data imports and exports; the timely and accurate processing of student documents and records; the production of accurate standard and ad hoc reporting, communication flow planning with the director of admissions, and inventory control and fulfillment.
- Coordinates system audits to ensure data integrity and accuracy; collaborates on common data definitions regarding the interface of college-wide data files and operations.
- Coordinates the creation and maintenance of standard operating procedures.
- Coordinates system training for staff to enhance their knowledge of emerging CRM functionality.
- Imports prospective student data into the CRM.
- Training admissions counselors and support staff in the use of CRM functions to enhance recruitment efforts.
- Assisting with the implementation of messaging strategies to prospective students throughout the admissions funnel.
- Creating and maintaining reports for the Office of Admissions and other campus departments, including weekly enrollment reports.
- Overseeing recruitment travel correspondence communication strategies (I.E.: postcards, mailings, email blasts).
- Fulfilling data requests from various campus departments and external vendors.
- Providing information to the Office of Marketing about publication quantities and delivery necessary to fulfill the communications plan.
- Serving on College committees as assigned.
- Assisting with recruitment events on selected weekends or evening programs, as needed.
- Perform related duties as required.

Education & Experience:
- Bachelor's degree required; Master’s degree preferred.
- Minimum of five years professional experience. Experience on a college campus, in an office of admissions, or related work experience. Experience with Slate CRM and Ellucian Colleague preferred.

Working conditions & physical demands:
- General office setting with moderate noise level
- Occasional weekend work required
