The primary purpose of the position is to provide administrative support to the Dean of Students, the Assistant Dean of Students, the Co-Directors of First Year Experience and other staff reporting to the Dean of Students.
Duties:
- Answers phones, greets visitors and supervises reception area.
- Communicates with students, campus partners, faculty, staff and parents.
- Handles all correspondence for the office by mail, fax or e-mail. Sends student absence notifications to faculty.
- Supervises and trains student workers.
- Assists with catering orders and room reservations for office-sponsored events and programs.
- Ensures the availability and sufficiency of office supplies.
- Prepares and sends withdrawal reports every week.
- Monitors office budget and reconciles budget tracking system. Manages petty cash deposits and disbursements.
- Maintains log and files of Honor Council case outcomes.
- Maintains web pages for Dean of Students area.
- Assists with editing and formatting of student handbook publication and newsletters.
- Assists with receptionist and budget tasks in the Counseling Center when needed.
- Performs any other services as requested for the office.
Skills Needed:
- Requires excellent oral and written communication skills.
- Maintains confidentiality in communication, records, and files.
- This position requires excellent organizational and managing skills in order to perform her/his duties when working with the supervisor and directors. Must have strong time management skills, handling several tasks at one time.
- Must have working knowledge of Microsoft Office Suite and Google Workspace.
Key Interfaces:
- Reports regularly to Dean of Students.
- Supervises student workers.
- Interacts with students, faculty, parents, alumnae in the office, on the phone and through email.
- Works effectively on a team.
Education & Experience:
EITHER
- High school diploma and a minimum of three years experience in a similar position. Experience in educational setting is preferred.
OR
- Bachelor’s degree and a minimum of 1 year of experience
- Some knowledge of academia or experience in and educational setting is preferred.
- Valid NC driver license clean driving history is required.
Working conditions & physical demands:
- General office setting with moderate noise and moderate to high traffic. May have occasional driving requirements for on and off campus.
- Will occasionally lift 10-25 lbs.
